How It Works
How Our HOA & Condo Website Design Process Works
From your first conversation with PropertyPop to your new community website going live, we handle the website design, development, launch, and ongoing maintenance for you.
Creating a website for your HOA or Condominium Association shouldn’t require your Board to become a web development team. PropertyPop manages the process from start to finish. We work with your Association to understand your community, organize your information, construct your website, build the functionality your residents need, and launch the finished product. Once it’s live, our support team continues to handle website updates, maintenance, security, and support.
A Simple Process. A Website Built Around Your Community.
Every HOA and condo association is different. Some communities primarily need a better way to organize governing documents and announcements. Others need additional features: resident portals, online forms, amenity reservations, directories, calendars, payment integrations, or a more professional public-facing website.
Our process is designed to accommodate those differences without making the project complicated for your Board.
01 — Discover
We Learn About Your Community
The process begins with a Discovery Conversation about your Association.
We’ll discuss your community, current website, residents’ needs, Board or management requirements, key features, and what you want available to the public versus secured behind your resident portal.
PropertyPop has designed and managed community association websites since 2017. Our process has been shaped by working with real Homeowner Associations and Condominium communities across the country.
This is also where we can walk you through examples of real HOA and Condo websites we’ve built so you can see how different communities use their websites.
What we learn about:
- Your HOA or Condominium Association
- Your current website and what you’d like to improve
- Community documents and information
- Resident communication needs
- Board and management requirements
- Desired website features
- Branding, photography, and community amenities
- Public versus resident-only information
The goal: understand what your community actually needs before we start building.
02 — Build
We Design & Build Your Community Website
Once we understand your requirements, our team gets to work.
We organize your content and build the website around the way residents actually use it. That includes the public-facing website as well as the private resident experience.
Rather than asking your Board to figure out how to build everything themselves, we handle the website development for you.
Your website can include:
- Secure Resident Portal
- Documents & Forms Library
- Community Calendar
- Resident Directory
- Board of Directors Information
- Online Forms
- Community News & Announcements
- E-Blasts & Newsletters
- Amenity & Facility Reservations
- Online Surveys & Voting
- Online Dues Payments
- Photo Galleries
- Mobile-Friendly Design
- And more
03 — Review
Preview Your Website Before It Goes Live
We’ll provide your Association with a preview link so you can review the site before it goes live.
This is where we make adjustments to the content, navigation, features, and organization before the website is launched.
Your Association gets an opportunity to review:
Structure
Does the site architecture and framework make sense for you?
Navigation
Can residents quickly find the information they need?
Content
Are the right documents, contacts, announcements, and resources included?
Functionality
Do the website features work the way your Association expects?
Mobile Experience
Does the website work well on phones and tablets as well as desktop computers?
We incorporate the requested revisions and prepare the website for launch.
04 — Launch
We Prepare Your New Website for Residents’ Access
The goal is simple: your Board shouldn’t have to figure out how to launch a new community website on its own. We handle the technical side so your Association can focus on communicating the change to residents.
Launch includes:
- Final website QA Scan and review
- Resident account activation
- Final content updates
- Mobile and functionality checks
- Website launch
05 — Support
Ongoing Support Post-Launch
HOA and Condo websites are living resources. New documents need to be uploaded. Board members change. Events are added. Announcements are published. Community information needs to stay current.
PropertyPop provides ongoing website maintenance and support even after your site goes live. Our team handles routine updates, content changes, document uploads, security checks, and backups. While we handle this ongoing maintenance, your Association is never locked out of its own website. Administrative login credentials are provided so authorized residents can make updates whenever needed.
Your website stays supported with:
- Ongoing website maintenance
- Content and document updates
- Security monitoring
- Website backups
- Hosting
- Technical support
- Feature assistance
- Continued website improvements
What Do You Need to Provide?
We Do the Heavy Lifting. You Provide the Community Information.
One of the biggest concerns we hear from HOA Boards is:
“How much work is this going to create for us?”
Our goal is to keep that burden as low as possible.
You’ll provide the information and materials that are specific to your community, while our team handles the website design, development, organization, and technical work.
Helpful Association Materials include:
Community Information
Association name, contact information, management information, Board information, and community details.
Documents
Governing documents, rules and regulations, meeting materials, forms, policies, and other resources you want residents to access.
Images & Photos
Community photos, amenity photos, badges, and other visual materials.
Website Preferences
Any specific features, pages, navigation preferences, or functionality your association wants included.
Don’t have everything organized yet? That’s okay. We’ll help identify what is needed as we move through the process.
Built Around the Features Your Community Needs
Every association has different requirements. Your PropertyPop website can include everything from secure resident portals and document libraries to community calendars, online forms, amenity reservations, newsletters, and more.
HOA & Condo Website Process FAQs
How long does it take to build an HOA website?
The timeline depends on the size of the Association, the amount of content being migrated, the features required, and how quickly feedback and materials are provided, but it’s usually 3 weeks or less. During the onboarding process, we’ll explain what is needed and guide your Association through each stage.
Do we have to build the website ourselves?
No. PropertyPop handles the website design and development for you. Your association provides the community-specific information and reviews the website before launch.
Can you build a website for a Condominium Association?
Yes. PropertyPop builds and manages websites for both homeowner associations and condominium associations. The website can be structured around the needs of your particular community.
Can our existing domain name be used?
Yes. Your existing community domain name (URL) can typically be connected to the new PropertyPop platform so residents can continue using the same web address they are already familiar with.
Can residents access private documents?
Yes. A secure Resident Portal can be used to provide residents with access to private community information, documents, forms, and other resources.
Who updates the website after it launches?
PropertyPop provides ongoing website maintenance and support. Depending on your needs, our team can handle routine updates, document uploads, content changes, and other website maintenance. You are also provided with Administrative login credentials so you can make updates 24/7/365.
What if our current website already has a lot of information?
That’s common. During onboarding, we’ll work with your community to determine what information should be migrated over, reorganized, updated, or removed as part of the new website.
